ABOUT SAKEWEWAK
Sâkêwêwak’s mandate is to ensure that Indigenous artists within the city of Regina and surrounding areas are consistently provided with the space and environment to develop their self-determined artistic practices through critical exchange with their peers and audiences. This includes regular programming such as our yearly Storytellers Festival, annual residencies, workshops, performances, and exhibitions.
SUMMARY OF POSITION
Reporting to the Artistic Director and Board of Directors (BOD), the Office Administrator (Administrator) supports all aspects of Sâkêwêwak’s administrative, financial, and day-to-day operations, providing excellent in-office support to a small and passionate team. Working closely with Sâkêwêwak’s bookkeeper, a main priority of the Administrator is to maintain the integrity of financial record keeping, update budgets, and prepare quarterly financial reports for the Artistic Director. The Administrator is responsible for stewardship of the organization’s file management systems and general maintenance of the office facilities. The Administrator also plays a crucial role in fostering positive relationships with Sâkêwêwak membership and wider community.
TERM: 1-Year Contract. Renewal of this position is dependent on funding.
HOURS: Part-time, 20 hours/week.
The Administrator will be required to upkeep regular in-person office hours. Additionally, the Administrator may at times be required to assist with programming occurring off-site, outside of regular office hours, such as during the Annual Storytellers Festival, and other workshops, and events.
Additional hours (up to 35 hours/week) required during February due to Sâkêwêwak’s Annual Storytelling Festival.
DUTIES OF THE OFFICE ADMINISTRATOR
Financial
Work with the bookkeeper and accountant to maintain competent financial practices, accounts payable/receivable, and prepare year-end materials for annual financial reviews;
Update Sâkêwêwak’s operational budget on a monthly basis;
Prepare financial reports for the Artistic Director to deliver to the BoD.
Administrative
Provide administrative support towards Sâkêwêwak’s daily operations:
Reply to general email and phone inquiries;
Oversee physical and digital filing systems;
Update organizational documents, lists, and manuals;
Maintain working condition of equipment and facilities;
Assist in researching and writing municipal, provincial, and federal grants and reports as required;
Assist in drafting contracts for artists and collaborators.
Engagement
Assist in preparing correspondences with Sâkêwêwak audiences;
Maintain accurate membership lists and circulate member renewal notices;
Utilize SLACK messaging as a tool for membership engagement;
Assist in the recruitment and coordination of volunteers;
Other duties as required.
COMPETENCIES
Excellent organizational skills and high degree of attention to detail;
Some experience with bookkeeping and budgeting;
Strong oral and written communication skills;
Ability to work independently and collaboratively with fellow staff, volunteers, and Board members;
Ability to self-manage time efficiently, remain flexible and problem-solve;
Enthusiasm towards community building;
Knowledge and respect for diverse points of view and the ability to facilitate productive exchange;
Working knowledge of Indigenous artists, and artistic or cultural communities;
Familiarity with other regional or national arts organizations;
Experience working or volunteering with artist-run-centres and/or non-profit organizations;
Familiarity with financial practices of non-profits;
Working knowledge of computer softwares such as:
Apple operating systems
Microsoft Office (Word, Excel)
Gsuite (Gmail, Google Drive, Google Calendar, Docs, Sheets, Forms)
Group emailing software (Mailchimp)
Group messaging app (SLACK)
Social Media platforms (Instagram, Facebook,)
Content Management Systems (WordPress)
