We are Saskatchewan’s children’s museum. Wonderhub brings children and families together to create, learn, play, and explore without boundaries.

Job Purpose:
Reporting to the CEO, the Office Coordinator organizes and coordinates the operations and procedures of the Wonderhub office. The Office Coordinator provides administrative support to the CEO, four managers, and the board of directors and its committees.

Duties and Responsibilities:
1. Administrative support:
a. Compile statistical and narrative reports
b. Maintain informational and record keeping data
c. Maintain filing systems
d. Update mailing lists
e. Order and maintain inventory of office supplies
f. Pick up, deliver, and process mail
g. Assist in scheduling and correspondence
h. Assist in planning and preparation for staff meetings and other events
i. Provide support for facility rentals and school bookings
j. Assist with daily cash conciliation and bi-weekly bank deposits
k. Assist with invoicing
l. Assist with donor recognition, including charitable tax receipts and thank you letters
m. Assist with financial reports for fundraising follow ups
n. Administer benefits package for all employees
o. Process bi-monthly payroll
p. Other administrative duties as assigned

2. Board support:
a. Book board and board committee meetings in consultation with CEO
b. Assist CEO in preparing board meeting agendas and supporting materials
c. Take minutes for board and committee meetings
d. Help organize the annual general meeting
e. Other board-related duties as required

Qualifications:
A post-secondary diploma/certificate in office administration and/or administrative assistance or combination of education and experience. The successful candidate will be well-organized, detail-oriented, and highly motivated, and must be professional in dealing with the public, team members, and volunteer board/committee members. Experience in office administration with a nonprofit organization is considered an asset.

Working Conditions:
Located at Nutrien Wonderhub in Saskatoon, this position is full-time (averaging 40 hours per week).

The starting wage is $24 per hour plus supplementary health, dental, and vision benefits beginning after a three-month probationary period.

This position requires working with the following equipment: POS system, computer, and vehicle (Class 5 driver’s license).

Some travel within Saskatoon is required to attend meetings, community events, and learning opportunities. Occasonal overnight travel may be required depending on current activities.

The fast-paced operating environment is such that staff may be required to work extra hours to meet the needs of the organization. While staff need to be flexible in their work schedules, Nutrien Wonderhub is committed to providing appropriate time-in-lieu and/or compensation.
